Visitor Services Representative
Reports to: Facility Manager
Classification: non-Exempt (Part Time)
JOB SUMMARY:
The Visitor Services Representative is responsible for the front entry reception station. Duties include (but are not confined to) greeting visitors, answering and routing telephone calls, maintaining cash boxes, assisting with bulk mailings, ordering general office supplies, tracking attendance, patrolling the lower galleries and other duties as assigned.
The Visitor Services Representative is responsible for assisting with the TMA Gift Shop including sales and inventory maintenance. The Visitor Services Representative, as needed, is also responsible for assisting with the TMA Café.
ESSENTIAL FUNCTIONS:
Maintain confidentiality
Process memberships and renewals that take place at the Visitor Services station
Ensure visitor enjoyment; monitor the condition of building, artwork and signage
Receive and distribute mail to staff; ensure outgoing mail is stamped and mailed
Maintain guest lists and RSVPs for events
Process cash and other payments on a daily basis
Perform opening and closing procedures for the gift shop in compliance with Museum policies and procedures
Ensures that the galleries, Gift Shop and Visitor Service area are clean and have a professional appearance during operating hours (performing necessary light cleaning procedures such as sweeping, dusting, etc.)
Processes sales for visitors (sales include but are not limited to memberships, tickets for special events, shop merchandise and donations)
Other duties and responsibilities as assigned
OTHER JOB FUNCTIONS:
Create and file necessary reports
Assist with receptions and special events as needed
Assists in the Museum gift shop as needed
Process purchases made by mail, email or telephone
Maintain accurate records and processes payments as necessary for all merchandise
Supports volunteers and/or interns
Monitor and report needed repairs and services
WORKING CONDITIONS:
Work area primarily indoors in a climate-controlled environment
Seated in an office chair at a desk
MATERIAL AND EQUIPMENT USED:
Word processor (Microsoft Office programs, such as Word, Excel and Access)
Telephone, Copy Machine, Internet
KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:
Good written and oral communication skills
Professional and businesslike in appearance and demeanor
Ability to work with Museum trustees, donors, lenders, volunteers, vendors, other museum professionals, the public and co-workers professionally and tactfully
QUALIFICATIONS:
High School degree required
Minimum two years experience in related duties
PRIMARY WORK HOURS:
Weekly:
Thursday & Friday / 9:00 a.m.-5:00 p.m.
Every other weekend:
Saturday: 10:00 a.m.-5:00 p.m.
Sunday: 1:00-5:00 p.m.
Special events and extra hours as needed
